Booking Terms & Conditions
Your Travel Partner
Tralak Inter Tours is a registered Sri Lankan travel company under the Sri Lanka Tourism Development Authority, the official body for tourism in the country. We plan, execute, and organize tours on behalf of guests and other travel partners. In these terms, “Tralak Inter Tours” refers to our company and its operations.
Confirmation of Booking
Your booking is confirmed, and a contract is established when Tralak Inter Tours provides written confirmation after receiving the applicable deposit. Please check your confirmation carefully and immediately report any inaccuracies to us. Ensure that all names match exactly as they appear in the relevant passports.
For all bookings, including tailor-made holidays, a 50% advance payment is required to confirm your reservation. Once all arrangements are made, we will send you a Confirmation Invoice and Travel Voucher. The remaining balance is due 7 days before your arrival. By making a deposit, you agree to these booking conditions.
Notes:
- Initial payment is required at the time of booking.
- Bank charges for transfers must be covered by the client.
- There are no additional fees for postage, booking, or hidden charges. Exchange rates are based on the Central Bank of Sri Lanka at the time of booking and are not subject to change.
Cancellations
a) Cancellation by Tralak Inter Tours
In the unlikely event that we need to cancel your booking due to force majeure (see below), we will refund all money paid by you. Where possible, we will also offer an alternative booking of similar type and quality. Tralak Inter Tours cannot be held responsible for any incidental expenses incurred by you in preparation for the canceled booking.
b) Cancellation by Client (You)
You may cancel your booking by notifying your Tour Consultant. Cancellation fees will be determined based on the date we receive your cancellation notice and are calculated as a percentage of the total price paid for the tour.
- 60+ days before arrival: Full refund (100%) of payments made.
- 30–59 days before arrival: 95% refund of payments made.
- Less than 30 days before arrival: 90% refund of payments made.
- 7 days or less before arrival: No refund.
Any cancellations must be immediately communicated via email to your Tour Consultant, quoting your invoice number. In the case of group cancellations, the tour leader will be held liable for cancellation costs on behalf of the group.
Pandemic-Related Cancellations
If the tour cannot proceed due to the pandemic, we will refund 100% of your payment if the cancellation occurs 21 days prior to arrival in Sri Lanka.
Personal Safety
Your safety is our priority. If any official travel advisory instructs against travel to any region on your itinerary, we will offer the following refunds:
- 30+ days before your first booking: 90% refund of the total booking cost.
- Within 30 days of your booking or during your holiday: Refunds for all recoverable costs.
Changes to Itineraries
a) Changes Made by Tralak Inter Tours
While we strive to maintain your original itinerary, unavoidable circumstances may require adjustments. If such changes are necessary, we will ensure they align with the spirit of the original plan and communicate them to you promptly. In case of an emergency (e.g., hotel overbooking), we will provide a suitable alternative, refund any difference if the new accommodation is cheaper, and cover additional transfer costs.
b) Changes Requested by Client
We aim to offer flexible itineraries and will always consider requests for adjustments. Additional charges related to these changes will be communicated to you beforehand.
Information Provided by Tralak Inter Tours
We strive to provide accurate and up-to-date information. However, we cannot be held liable for errors or omissions beyond our reasonable knowledge. Opinions expressed by us are subjective, though we endeavor to provide accurate descriptions. Temporary issues, such as power cuts or seasonal closures, may impact the availability of advertised facilities.
Customer Care and Complaints Procedure
We are committed to providing high levels of customer care at every stage of your holiday. If any issue arises, please attempt to resolve it with the service provider (e.g., hotel) immediately. If the issue persists, notify Tralak Inter Tours within 24 hours to help us rectify the situation amicably. We provide emergency contact numbers prior to your departure, and it is your responsibility to use them if necessary.
Special Requests
Special requests (e.g., dietary needs, room preferences) must be communicated at the time of booking. While we will make every effort to accommodate your requests, we cannot guarantee that they will be fulfilled, and no contract exists based on such requests.
Force Majeure
Tralak Inter Tours is not liable for any loss, injury, or damage resulting from circumstances beyond our control (e.g., acts of God, war, terrorism, extreme weather, civil unrest, government actions). In such events, this clause applies, overriding any other cancellation policies.
Travel Insurance
It is mandatory for all travelers to possess valid travel insurance. Proof of insurance must be provided before travel, and it is the traveler’s responsibility to ensure that the policy covers all activities during the holiday.
Required Medical Information
You are responsible for assessing whether a tour is suitable for you based on your health and fitness. Please consult your physician for medical advice and travel vaccinations before departure. Any medical conditions, including pregnancy, must be disclosed at the time of booking.
Breach of Contract & Negligence
We accept liability for incidents arising as a direct result of our proven negligence or that of our suppliers, only in cases where Tralak Inter Tours arranges all accommodation and transfers for the entirety of your stay.
Guarantee of Price
Your holiday price is guaranteed and will not be subject to surcharges, except in cases where our costs increase due to government policy changes. We do not surcharge for exchange-rate fluctuations.
Accommodation
Tralak Inter Tours guarantees the accommodations selected for your tour package. We advise all clients to research the accommodations prior to confirming the booking. Once the booking is confirmed, no changes can be made to the hotel arrangements before or after arrival.
Shopping
Tralak Inter Tours does not recommend or guarantee the quality of any products purchased during your tour. You are responsible for determining the value and quality of goods purchased.
